Our Charity’s Community Services are provided in the Almshouse accommodation at Blackheath and at Ralph Perring Court in Beckenham, through the vibrant communal space in the John Morden Centre and the case management approach that proactively identifies, assesses, and supports the most vulnerable in our community. Our residential care home, Cullum Welch Court (“CWC”), provides personal nursing and dementia care 24/7. With 32 beds, it is small enough to maintain a personalised service to its residents, yet large enough to provide the facilities required to meet their range of needs.
Morden College is regulated by the Care Quality Commission (CQC).
About the Role:
To provide efficient administration support and production services to the Volunteering and Community Engagement team within the Health & Wellbeing Department and the wider College where necessary. Supporting Reception to ensure that residents receive a high standard of service.
Key Responsibilities and Accountabilities:
- To provide a high-quality administrative support service to the team, including arranging and diarising appointments, typing correspondence and reports, taking minutes of meetings and drafting responses to letters and e-mails, ensuring accuracy and attention to detail at all times.
- To open and process applications and correspondence from volunteers.
- Keep the volunteering directory and files up to date, complying with relevant confidentiality and GDPR policy.
- To produce and distribute the weekly Morden College Newsletter and support the dissemination of information throughout the College through Memos, updates to online platforms, Digital Displays and other avenues.
- Work with the resident editor to produce and distribute the quarterly 1695 Magazine.
- To retrieve and file resident notes as required ensuring that correspondence, reports and all relevant documents are filled in correctly and promptly.
- To undertake all main reception duties whilst covering for lunch, breaks and holiday.
- To provide occasional cover for the other Health & Wellbeing Administrators, undertaking all required tasks.
- To provide occasional cover for the PA to the CEO in respect to recording meetings and other like duties.
- Encourage and engage in harmonious and respectful working with other departments and internal stakeholders, enabling a holistic and efficient service is provided to beneficiaries.
- Comply with safeguarding and other internal procedures for reporting incidents, ensuring compliance with date protection regulations at all times.
- To ensure compliance with the General Data Protection Regulations 2016 and the Data Protection Act 2018.
The Candidate:
- You must be proficient in the use of various computer systems and databases including Microsoft Office.
- You must have previous experience working in an administrative office role.
- Experience of communicating with a variety of audiences.
- Experience with desktop publishing (such as the Adobe Creative Cloud or similar), producing material such as posters and newsletters.
- Has vision, is authentically warm, genuine, trustworthy, honest, reliable, consistent, and caring in all their actions and supports this culture within the organisation.
- A well-developed sense of their own behaviours and how they impact on others.
