Main purpose:
As Visits Coordinator, you will be working as part of a team responsible for responding to all public general enquiries for Bletchley Park. These may include general queries, ticket sales, online ticket enquiries, gift tickets, afternoon tea bookings, learning session bookings, group bookings, and public events tickets.
Part of your role will include coordinating group bookings and learning bookings.
Person Specification:
The position requires the following core skills:
- Committed to delivering a high level of customer service.
- An effective team player, keen to listen and learn, and support others. 3. Strong organisation skills, with the ability to manage a varying workload.
- Excellent communication, interpersonal and numerical skills. Able to communicate effectively face to face, via the telephone and in writing.
- Outstanding attention to detail, able to work within a busy environment.
- Self-motivated with the ability to work with minimal supervision.
- A knowledge of and interest in the Bletchley Park story and a willingness to promote the Trust’s Mission.
The following experience or knowledge is essential:
- Previous office administration experience, answering incoming telephone calls.
- Previous customer service experience.
- IT proficient, with good working knowledge of Microsoft Word, Excel.
Experience in invoice management.
- Experience with booking systems and databases.
Main Responsibilities:
- To be the first point of contact for all telephone and email enquiries for Bletchley Park, responding in a friendly, professional, and timely manner.
- To respond to ticketing enquiries, process online ticketing requests and modifications efficiently.
- Manage and process all Afternoon Tea bookings and event ticketing via the booking system.
- Manage and process all learning visit enquiries and bookings.
- Manage and process all group visit enquiries and bookings.
- To liaise with other teams across the site as needed, to ensure there are no conflicts with other activities across with site when creating a booking or visit, ensuring everyone is aware of the needs of each booking.
- To take ownership of any complaint and feedback received, escalating comments to senior managers as appropriate.
- To process changes and refunds, as requested in line with the Trust policy.
- To manage, record and reply to requests for donations and prizes made to Bletchley Park by external organisations.
- To fulfil and record all internal ticket allocations.
- Build and maintain working relationships with third party suppliers, ensuring information received is kept up to date, i.e., terms and conditions, booking process, prices, and content on websites.
- To support the Bookings and Events Manager, providing suggestions for the creation and delivery of new packages.
- To work with the Finance team to ensure invoices are up to date and accurate.
- To actively participate and provide updates as needed in team meetings / briefings.
- Produce reports for the management team, as required.
- To maintain positive relationships with travel trade partners, schools, and other networks.
- Work with other departments and onsite partners to provide a seamless visitor experience.
- To work at all times in accordance with the Trust’s policies and procedures
- To carry out such duties as may be required from time to time by the Trust that is appropriate to the grade of the post.
This role requires the team to work together to provide break, holiday, and sickness cover, as far as is reasonably possible to ensure the necessary cover is in place across a 7-day rota.
