Job Title: Senior Administrator

Location: Poole, Dorset – Office based

Salary: £26,000 – £29,500 per annum DOE

Job type: 40 hours per week, permanent

About us:

Vent Engineering is a well-established specialist in natural and smoke ventilation systems. We have been manufacturing, supplying, installing and commissioning ventilation systems for over 35 years. We are seeking to recruit a permanent full time, reliable, enthusiastic and hardworking senior administrator who takes great pride in their work.

About you:

The successful candidate will be flexible, willing to learn and comfortable working individually or as part of a supportive busy team in a face to face environment.

Vent Engineering is seeking an experienced administrator to work in our maintenance team at our offices in Poole.

To be successful for this role, the following is required:

  • Previous experience in a similar role (minimum 3 years office experience)
  • Strong communication skills as there will be lots of liaising with colleagues across the business as well as with clients on the telephone and via emails
  • Excellent numeracy and IT skills
  • Organised, very accurate with a high attention to detail with both financials and contracts
  • Ability to follow procedures accurately
  • Ability to prioritise own workload and be able to use your initiative

About the role:

Working alongside the Group Business Analyst / Maintenance Manager you will provide high-quality support and administrative help with the day-to-day administration of the maintenance department:

Key duties will include but not be limited to the following:

  • Issuing pre-prepared quotations to clients, along with company information
  • Preparing pro-forma invoices and prepare and update sales orders
  • Use bespoke software to record all site history and communications accurately
  • Answer the phones, take messages, and respond to emails
  • Arrange client payments alongside the accounts department
  • Record & process engineers timesheets
  • Record & label engineers job sheets and photos
  • Basic quote preparation for remedial works
  • Scheduling appointments for our engineers for current contracts and emergency call outs, including job pack preparation
  • Preparing invoicing from an engineer’s job sheet
  • Booking Hotels / Van Services as required
  • Managing ‘Van Stock’ and returns as required
  • Other duties as required

There is the option to develop further with this role for the right person
