The role:
We are now looking for a full time experienced Legal Secretary to support a busy firm of solicitors. Working within the Family Department you will be responsible for providing secretarial and administrative support to fee earners.
Key Responsibilities and Accountabilities:
- Opening and creating new files.
- Entering client details on the case management system.
- Utilising the Firm’s case management system to best effect.
- Complying with the Firm’s various policies and procedures contained in the office manual.
- Proof reading of documents.
- Issuing first letters.
- Speaking to clients/solicitors/counsel/counsel’s clerks.
- Keeping clients updated as to progress.
- Sending and receiving faxes and emails.
- Preparing letters, memos and bills.
- Typing complex documents.
- Tracking amendments to documents..
- Preparing briefs and bundles.
- Copy typing.
- Filing and maintaining files.
- Audio typing on digital audio system.
- Maintaining diaries.
- Making and taking telephone calls.
- Taking messages.
- Seeing clients in reception when necessary.
- Dealing with new client enquiries.
- Inputting timesheets onto case manager.
- Photocopying
- Completing cashier slips for cheques, cash and bank transfers or dealing with them via Partner.
- Booking courses for fee earners.
- Requesting files from storage.
- Closing files.
- Covering for others as required.
- Ensuring the confidentiality and security of all practice and client documentation and information.
- Ensuring that outstanding client care is given at all times.
- Any other duties that are reasonably asked of you by the partners.
