Job Title: Production Coordinator

Location: Birmingham

Salary: Circa £27,000 per annum

Job Type: Permanent, 36 hours per week. FTC for 12 months.

B:Music Ltd is the music charity responsible for Symphony Hall and Town Hall, two iconic venues in the heart of Birmingham. Each year, these venues welcome over half a million people to around 800 concerts and events.

Symphony Hall and Town Hall are live music and entertainment venues, and flexibility is required around working hours, the successful candidate may on occasion be required to work outside the usual 9 – 5 office hours.

Job Purpose:

The main purpose of this role is to coordinate the production and delivery of a wide range of events across both Symphony Hall and Town Hall, as well as any offsite events that may occur. The Coordinator will work in conjunction with several departments, ensuring all elements of an event are delivered in an efficient, timely and cost-effective manner and in line with any budgets set. The Production Manager allocates events across the team, taking into account workload, availability and the necessary requirements of each particular event.

Key Accountabilities:

  • To liaise with clients regarding the full operational delivery of their event. This will involve the collation and coordination of information both internally and externally, assessing and agreeing the requirements for every event and ensuring they are delivered to the highest standards.
  • Be responsible for the successful production of any event. For some events, this will mean being in attendance at the start of the day and where necessary, remaining on site until the end. In cases where this is not required, the post holder is responsible for ensuring all other operational teams are appropriately briefed and prepared.
  • To arrange and attend meetings and site visits with existing and potential clients, establishing and capturing all technical and logistical details for their event.
  • Effectively manage a high turnover of events and be able to multi-task and prioritise your workload.
  • Develop and maintain strong relationships with all clients and suppliers.
  • Ensure that the technical requirements for each event are understood and delivered, including but not limited to lighting, sound, rigging and staging. In addition, you will need to accurately communicate staffing and catering requirements, amongst other requests.
  • Use Artifax as a diary and event management system and update this in real-time to enable all details to be captured and shared as accurately as possible across the organisation.
  • When appropriate, be responsible for the hiring of any external equipment, confirming and agreeing costs with the client and raising the relevant purchase orders.
  • The post holder is responsible for the tracking and recording of all production recharges and will collate these before each performance commences to ensure that provisional settlement figures for show promoters and tour managers are as accurate as possible.
  • Requesting in good time all relevant internal and external health and safety documentation. Alongside the technical team, be responsible for providing a safe working environment and escalating any concerns to the Production or Technical Manager.
  • Proactively contribute ideas to further develop the Production team and the organisation as a whole; constantly striving to streamline our current processes and ways of working.

Person Specification:

  • Previous experience of concert or event management and/or experience working within live arts, theatre or a similar industry
  • An understanding or knowledge of technical disciplines including but not limited to lighting, sound and rigging
  • An ability to understand technical and production issues that can occur, with a willingness to learn from the existing team
  • Experience with handling a high volume of both internal and external relationships
  • Strong administrative and organisational skills with a keen eye for attention to detail
  • Good numeracy skills and the ability to understand and work with budgets
  • Clear verbal and written communication skills
  • A good understanding of IT systems and preferably, experience with using diary management systems such as Artifax/Capsule/Sales Force
  • Proactive problem-solving skills and an ability to act from a position of responsibility as both a venue representative and as a member of a dynamic team.
