Job Title: PA / Office Administrator

Salary: Competitive, depending on experience
Job Type: Permanent, Full Time (40 hours per week – to be worked between 08:00-18:00 Monday to Friday)
Role Overview:
The Company is the UK’s leading operator of Point of Care software and services, with over 20 years experience in the field. Their solutions are used in more than 130 hospital sites across the NHS, offering patient media and Wi-Fi.
They’re currently looking for someone who can provide a high quality and effective PA service to the Managing Director (MD) and general administrative support to members of the senior management team.
Key Responsibilities and Duties:
- Provide a comprehensive and confidential personal assistant service to the MD
- Maintain MD appointment schedule through planning, prioritising and scheduling of meetings and travel
- Define and implement agreed way of working to manage MD’s inbox & activities
- Provide sales operations support through CRM reporting; review output and follow-up activity with sales team
- Work closely with the Head of Operations and HR Director on site to ensure the effective running of the team
- Provide HR team administrative support
- Organise and attend MD meetings (in person or via phone) as required, take notes and follow up actions to their conclusion
- Develop strong relationships with the Executive Team, Business Units and Group
- Produce a variety of documentation using appropriate software packages, including reports, presentations, letters and spreadsheets
- Administration duties, including mail handling, filing, answering telephone calls, responding to emails, expenses, travel and preparing documents
- Participate in and provide support for projects and initiatives
- Liaise with clients, suppliers and other colleagues
- Deal with enquiries in a prompt and efficient manner
- Undertake any other duties to ensure the smooth and efficient running of the department
Experience, Skills & Attributes:
- Proven PA or administrative experience, supporting at a senior level
- Experience of diary management and planning
- Ability to communicate effectively, both verbally and in writing, with internal and external stakeholders at varying levels of seniority
- Ability to handle sensitive and complex issues in a discreet and professional manner
- Excellent computer skills with good working knowledge of Microsoft packages (Word, Excel, Outlook and PowerPoint)
- High level of attention to detail and accuracy
