Job Title: Payroll and Accounts Administrator
Location: Dartford
Salary: £25,000 to £30,000 per annum (Pro rata if part time)
Job Type: Permanent, Full time (Part Time available)
Hours: 9 am – 5 pm, Monday to Friday or over 4 days a week
The company is a successful privately owned independent lift company providing maintenance and modernisation solutions to a variety of customers. They are currently looking for a Payroll and Accounts Administrator to be based at their Dartford office.
The Role:
Reporting to the Chief Financial Officer and as part of the Accounts Team this role is mainly responsible for processing the Company’s weekly and monthly payroll in a timely and accurate manner. In addition, there will be accounts administration tasks to support the accounts office function for the Business.
Main Responsibilities:
Payroll
- Prepare and process weekly payroll and expenses claims for approximately 80 employees from timesheets
- Prepare and process monthly payroll and expenses for approximately 80 employees from timesheets and salaried staff
- Process weekly and monthly payroll journals into Sage 50
- Ensure all employee personal information and bank information is updated in payroll system
- Monitor, check and input all variable contractual terms’ data into Sage Payroll Professional
- Update the system with any starters and leavers from the business
- Work alongside HR to receive and enter approved leave and all absences on the system
- Submit RTI weekly and monthly payroll totals on HMRC website
- Ensure that the Company meets its statutory obligations which includes, but is not exclusive to P45, P60 and Year End Returns
- Maintain Workplace Pension records and deductions to meet the current pensions legislation requirements
Accounts Administration
- Complete regular bank reconciliations
- Process supplier and subcontractor payments from Sage 50 to the online banking system
- Resolve supplier and subcontractor related queries
- Carry out Supplier statement reconciliations
- Complete and process CIS monthly returns
- Taking telephone calls and liaising with suppliers and subcontractors
- General ad hoc accounts duties and providing support during periods of absence and annual leave
- Display a smart, professional work place image in person and over the telephone
- Maintain accuracy of administrative responsibilities despite breaks in the workflow to handle interruptions
- Undertake other work at the discretion of the directors and perform other tasks necessary to achieve overall objectives of the company
- Maintain accurate accounting control records and historical correspondence relevant to payroll and other account functions
- Initiate constructive ways of working to continually improve the operations of the Accounts Department.
- Adhere to ISO 900; OHSAS18001 and ISO 14001 management system
Requirements:
- Extensive experience in payroll and using Sage Payroll Professional
- Pay attention to detail and have a familiarity with benefits and other wage deductions
- Have a basic understanding of Tax and HMRC regulations
- Competent with Spreadsheets
- Working knowledge of Sage 50 Accounts
- A dependable individual with an honest character who observes the importance of maintaining confidentiality of employees’ pay records
