Job Title: PA to the Principal and MANCEP Project Manager

Salary: SFCA Support Staff pay spine points 28-30 depending on experience (actual £39,279 to £41,281 per annum)

The college is seeking to appoint an enthusiastic and dedicated PA to the Principal and MANCEP Project Manager to provide a high-quality administrative service to support the Principal and wider college team, ensuring efficient and appropriate communications and displaying the values of the college in their day-to-day role. The Role of the MANCEP project Manager will be key to the success of the Catholic Education delivery within Manchester.
Main Duties and Responsibilities
- Provision of all administrative functions including: answering and distribution of telephone calls, assisting and producing, where applicable, mail merge letters, PowerPoint presentations, inputting data and spreadsheet tasks.
- To manage the electronic diary and schedule of appointments for the appropriate senior managers
- To deal with communications for the Principal, including correspondence and telephone calls so that the relevant messages and documents are handled properly and efficiently.
- To liaise with external institutions ensuring that communications are accurate and reflect the efficient operation of the College.
- To attend and minute meetings as appropriate.
- To ensure documentation for agreed regular meetings is collated and distributed as appropriate.
- To maintain efficient, comprehensive filing systems so that documents can be easily retrieved.
- To provide administrative support to the college office when appropriate
- To review and maintain administrative procedures to ensure compliance with college procedures and adherence to data protection legislation.
- Arrange conference bookings, travel arrangements, course and accommodation for the Principal and Senior Management Team as required.
- To promote equal opportunities for students and staff.
- Provide administrative support for the half termly Heads’ and Principals’ meetings including liaison with group chair regarding agenda and notes production, Loreto College, booking external speakers etc.
- Provide administrative support for the full range of MANCEP subject, good practice groups and other meetings including liaison with relevant chair regarding agenda and notes production.
- Formulate MANCEP Day for each subject including booking speakers; agree timings and venues, dealing with matters concerning presenters and other issues which may arise.
- Provide support and information needed to school/college coordinators and subject staff to ensure smooth running of MANCEP day.
- Manage the budget for MANCEP day and liaise with Xaverian College regarding the monitoring of the budget
- Develop and maintain relationships with a range of local partnerships who deliver training for MANCEP day e.g. STEM, local universities, local and national charities and training providers.
- Produce MANCEP calendar for approval by Heads and Principals’ group.
- Organise Heads and Principals’ annual conference including booking venue and all arrangements, book speaker(s) in liaison with group chair.
- Oversee arrangements for the annual MANCEP Mass.
- Produce an evaluative report of MANCEP day.
Staffing
- To take part in staff development as appropriate.
Quality Assurance
- To ensure the effective operation of quality assurance systems.
- To contribute to the process of the setting of targets within the department and to work towards their achievement.
Marketing and Liaison
- To contribute to the College liaison and marketing activities.
- To link with external agencies as appropriate.
About you:
Experience:
- Experience in an administrative role
- Experience of working in a busy office and minute taking
- Administrative experience in an educational environment (Desirable)
Skills and Knowledge:
- Proficiency in working with standard office applications such as MS Word, Excel, PowerPoint and Outlook
- Excellent organisational and administrative skills and the ability to complete tasks independently within agreed timescales
- The ability to operate a computerised administrative system / database and produce reports from this database
- Ability to prioritise, multitask and manage own workload
- Excellent telephone manner
- The ability to maintain quality and organisational procedures
- High level of literacy/communication skills
- Evidence of commitment to Continuous Professional Development
Qualifications:
- Educated to degree level or equivalent, or substantial relevant experience that demonstrates a high order of literacy, numeracy and analytical skills
- A relevant administrative/PA qualification or evidence of formal training (Desirable)
