Job Title: General Office Administrator

Location: Leeds, West Yorkshire

Salary: Competitive

Job Type: Full Time, Permanent (37 hours per week – Monday to Friday)

This is an exciting opportunity for an enthusiastic self-motivated individual to join our team in Leeds. Working within a small team the role of General Office Administrator is varied and busy. You will support the sales, service, repairs and accounts functions. You will assist the internal and external sales team to develop, retain customer loyalty and enhance the customer experience. Working to assist the finance team in maintaining ledgers and data input. You will also assist the service & repairs team in collating and preparing information for monthly reports. This will be a varied role which requires a multi-skilled individual.

The company’s goal is to lead development in hydraulic solutions for demanding applications.

This is a challenging role and requires someone experienced that can provide us with adaptability and flexibility in order to be both pro-active and responsive to the ever-changing office demands. Initiative, attention to detail and the ability to organise and prioritise workload is key.

About the role:

General Admin & Reception duties including:

  • Answering the phone
  • Opening and distributing post
  • Meeting and greeting visitors
  • Taking meeting notes
  • Filing, scanning, printing and photocopying

Support Sales team in all aspects of the sales function when required including:

  • Sales Order Processing and issuing Order Acknowledgements
  • Diary Management
  • Liaise with customers directly (via telephone, email and occasionally face to face)
  • Handle customer calls coming through to internal sales
  • Help maintain, monitor and respond to all customer enquiries entering Oilgear through the enquiries inbox
  • Assist in the preparation of quotes
  • Assist in the maintenance and reporting of KPI data, new order review and margins
  • Update production plans
  • Signposting and passing through non sales enquiries to the relevant department
  • Maintain, update and keep dates and data accurate on the quotes log and CRM
  • Arrange shipping and prepare despatch and customs documentation
  • Assist with Aftersales queries to include shipment tracking, copy invoices, etc.

Assist Finance team, responsible for accounting functions including:

  • Purchase orders & invoices – ensure delivery notes are matching, coding & input data
  • Check for discrepancies and query, liaise with relevant depts & suppliers
  • Sales ledger invoicing and credit control

Support Service and Repairs team:

  • Collating information for bill of materials preparation
  • Preparing customer reports and quotations
  • Maintain CRM to ensure visibility of enquiries

About you:

  • Excellent attitude

  • Experience in accounting software
  • Proficient in Excel/ Word & Outlook
  • Experience of working in a similar role, preferably engineering or manufacturing
  • Excellent organisational and communication skills
  • Flexible
  • Excellent levels of literacy
