Job Title: Office Assistant

Location: Shrewsbury

Salary: Competitive + benefits (£18,000-£20,000 pro-rata to the contracted hours – must be hidden

Job Type: Permanent, Part time

Hours: The contracted hours are 18.75 per week (3.75 hours per day) working a 5 day week. Working hours are 2pm to 5:45pm.

Job Role:

We are looking for a charismatic and proactive individual who is passionate about people and organisation and who is looking for a job share. The successful candidate will be keen to support our teams in the office, be approachable and will have good project management and communication skills. Ideally, they will have experience working in a similar role.

The primary purpose of this role is to support office management activities for our Shrewsbury office, facilities management and provisioning as well as health & safety activities such as DSE assessments and office risk assessments.

The role will involve being responsible for office activities such as purchasing, expenses, and maintenance. It will also support the Chief of Compliance & Process with administrative duties such as documentation administration, meeting organisation, ad hoc support and administration.

Key Duties:

  • Support the setup process for new starters such as sending welcome boxes, managing office orientations and health & safety training
  • Support the leavers process in ensuring that equipment is returned, cards are organised
  • Manage the purchasing process for office equipment, office stationery, office sundries and any other ad hoc purchases approved by management
  • Manage the office inventories and ensure provisioning is at the correct levels
  • Manage the office processes and initiatives such as Recycling & Waste management
  • Manage office maintenance and related supplier relationships
  • Support the management of contracts and deliverables for the Shrewsbury office
  • Support office utilities liaison
  • Support a safe and secure working environment with activities such as DSE training & assessments, office risk assessments
  • Support social activities management, themes and activities in the Shrewsbury office as well as wider company led initiatives
  • Support ad hoc office related projects on request

Required Knowledge, Skills & Experience:

  • Demonstrable experience in a similar role would be ideal
  • Strong sense of professional duty when dealing with sensitive information
  • Strong employee relation / communication skills and experience in dealing with a variety of cases
  • Good decision-making ability and natural problem solver
  • Proficient in managing workload in a timely and efficient manner, whilst working collaboratively and able to work to deadlines
  • Well organised and an ability to multi-task
  • Good Microsoft Office / Google skills, notably Google Sheets and Google Docs
  • Ability to work as a team and as part of a job share whilst working proactively
  • Enjoys process as part of the routine
  • Enjoys dealing with a variety of stakeholders from office suppliers, to clients, to senior executives and is able to adapt accordingly to their needs

Standard hours are from 2pm to 5:45pm – there’s flexibility if agreed in advance with your line managers (it may also be necessary on occasions to work outside of these hours).
