The role:
To provide HR administration support to the department in all areas of HR and employee lifecycle including (but not limited to) recruitment, onboarding, absence, employee relations, internal communications, payroll and leavers.
The Candidate:
- Permitted to work in the UK
- Certificate in HR Practice (L3)
Knowledge/Experience Required:
- IT Skills (esp. Word, Excel, PowerPoint)
- 1 year experience in an administration role (ideally HR Department)
- Excellent attention to detail
- Excellent organizational skills
- Report Writing/Presentation Skills
- Demonstrate ability to work within a multi-functional team
- Minute taking
- Knowledge of Sage HR
- Knowledge of Pro-Mark
- Knowledge of Employment Law
Key Responsibilities and Accountabilities:
- Support with all recruitment administration – posting jobs, candidate updates (acknowledge/reject), setting up interviews and preparing interview packs
- Create, update and maintain the personnel files, ensuring this is completed in a timely manner.
- Maintain and update Time & Attendance system and HRIS including supporting with queries and basic level training, data implementation and reporting.
- Assist with setting up starters & leavers – producing new starter packs, completing and chasing necessary correspondence.
- Log and process monthly payroll and HR data, ensuring data is accurately provided by required deadlines.
- Complete and maintain temporary worker reports; liaise with Agencies as applicable
- Be responsible for arranging medical surveillance for employees relating to Occupational Health and Drugs and Alcohol. This is to include appointment dates and coordination with colleagues to attend.
- Co-ordinate Induction (onboarding) with L&D Team. Preparing induction packs, sending out invites and supporting with training records.
- Answer telephone calls and deal with visitors to the Department. Resolve employee issues or pass to the next level where necessary.
- Support with other HR administration duties (maternity letters, flexible working documentation, absence letters etc).
- Update and chase visa renewals and or sponsorship of employees.
- Co-ordinate the production of ‘This week at Chemring CM” on a weekly basis and all hands briefs
- Maintain and update site noticeboards with campaigns/internal communication/ business announcements and recognition.
- Assist with the organization of colleague social or charity events or engagement activities – social trips, sponsorship events, Christmas party/ wellbeing activities
- Chase up return of paperwork – return to work interviews, probationary review forms
- Assist with security clearance and vetting process – chasing and checking documentation as required, setting up new applications
- Undertake other administration duties as required to support the department such as supporting end of year performance conversation/pay award letters/policy updates/organizing flowers/stationary requests etc
