Job Title: HR Assistant

Location: Chichester

Salary: Up to £22,129 (pro rata to 22.5 hours a week) Pay Award Pending

Job type: Part time, Hybrid remote working available, Work over 3 or 4 days.

Are you interested in helping people and have the aptitude and skills to be an excellent all-round administrator? If so we would like to hear from you. Ideally you’ll have some experience of HR or training administration, but this isn’t essential as training will be given (including an option to do an apprenticeship) if you have the right potential skill set for us. The role involves working with staff and managers as well as using HR systems including our e-learning packages. You’ll be engaged with all aspects of recruitment including advertising jobs, arranging interviews and preparing employment contracts. You’ll also provide some administrative support for our training & development function. You’ll be part of a lively and supportive people orientated HR/Payroll team. So good communication, organisational and IT skills are all essential.


HR/Payroll:

The HR/Payroll service is responsible for the following main areas of activity; recruitment and selection, training and development, contracts of employment; conditions of service and employment law matters, employee relations and payroll. The section is also responsible for several other areas including job evaluation, individual staff welfare, maintenance of the Disclosure & Barring Service criminal records checking system, health and sickness absence matters, employment related statistics and staff disciplinary and grievance issues.

Role and responsibilities;

  1. Recruitment
  • With the HR Administrator responsible for the vacancy management administration process, seeking required authorisations for posts to be filled.
  • Deal with all aspects of employment terminations.
  • Based on training given, to amend and edit recruitment information in consultation with service managers for sign-off by an HR Officer. To place recruitment advertising as agreed on relevant job sites, social media and publications.
  • To raise with service managers where a candidate with a disability meets the essential criteria of a job under the ‘Disability Confident’ scheme (seeking guidance as necessary).
  1. Contract of Employment/Terms & Conditions
  • To accurately respond to enquiries from managers/staff about terms and conditions and contracts of employment, seeking senior officer advice as necessary.
  • To obtain medical clearance for newly appointed staff via the on-line Occupational Health service, ensuring that responses are received in each case.
  • To prepare contracts of employment and contract amendments for review by an HR Officer.
  • To action with managers probation forms, termination forms and other employment related tasks including ensuring that fixed-term contracts are correctly managed in line with legal requirements.
  • To carry out HR induction meetings for new staff by following the check-list ensuring all documentation is signed in compliance with legal requirements.
  1. System Support
  • To implement standard variations to contractual terms and conditions on the HR/ Payroll system, ensuring that these are accurate and properly authorised.
  1. Training & development administration
  • To build and maintain a good working knowledge of the on-line e-learning system, downloading and amending content for modules as required and uploading these.
  • To set up corporate training events on the HR system and ensure that all corporate training is recorded on this.
  • To be responsible for professional qualification training administration.
  • To monitor the corporate training budget and other training budgets and provide regular reports on these as required to the HR Officer / HR Manager.
