Job Title: Receptionist

Salary: £11,500 – £13,500
Job Type: Permanent, Part Time
Shifts: Monday to Friday / 25 hours per week

The Position:
As a receptionist, you will provide a high-quality, hands-on front of house service. You will be responsible for greeting clients and visitors, and have excellent verbal and written communication skills.
Key Responsibilities:
- Welcoming all visitors to the building in a professional manner
- Ensuring all visitors sign in, have an induction arranged, and are aware of all safety procedures
- Managing all incoming telephone and email enquiries at reception
- Managing room bookings within the building, meeting rooms, accommodation, taxi and hire car bookings
- Ensuring that hire car vehicles are received and collected with efficient handover of keys to relevant parties
- Distributing incoming and outgoing post
- Managing site calendars, creating weekly movement sheet and associated duty mobile telephone handover
- Management of catering, refreshments, fruit and milk deliveries; ensuring requirements are forecasted
- Maintaining photocopier and coffee machine
- Maintaining stationary and consumables / ordering replenishment of supplies
- Management of meeting facilitation, ensuring meeting agendas and minute taking services are provided as required
- Management of TRAKA key authorisation and administration
- Management of general administration, shredding of confidential data
- Office walks down and check, monitoring of CCTV if available, incident and evacuation assistance
- Ensuring that records are accurately maintained and available to be audited
The Candidate:
- Previous reception and administrative experience
- Professional dress and manner
- Exceptional interpersonal skills
- Ability to organise and plan own work
- Excellent attention to detail with the ability to maintain a high level of accuracy
- A flexible, proactive approach to work including the ability to prioritise and re-prioritise
- Ability to work on own initiative and as part of a team
- Ability to deal with sensitive information with discretion and maintain confidentiality
- Excellent IT skills, including presentation software, Microsoft Office, Word, Excel, and PowerPoint
