Job Title: Executive Assistant/Office & Lettings Manager
Location: Warlingham, Surrey
Salary: TLT7 – From £25,845 per annum. Depending on experience.
Job Type: Permanent – Full time. Term time + 1 week, 36 hours per week.
Closing Date: 10am – Wednesday 22nd March 2023.
Purpose of Role:
As part of the MAT shared services team, provide a professional EA service to the CEO in support of the leadership of Tandridge Learning Trust. Responsible for managing all aspects of lettings effectiveness.
Delivering these responsibilities with regard to the ethos and values of the Trust, balancing the need for consistency with local requirements.
Key Outputs for Executive Assistant aspect:
- Act as Executive Assistant to the CEO, managing diaries and meeting arrangements, taking meeting minutes when required and proof-reading and creating essential documents.
- Provide a courteous welcome to all key stakeholders and visitors to the Trust, handle confidential queries and complex issues and draft and dispatch correspondence as needed.
- Liaise with senior managers across the Trust, Trustees, Members and school Local Governing Committees, regarding priorities, deadlines, policies and procedures and maintain effective communication systems both internally and externally.
- Coordinate the timetable for review of policies and procedures, ensuring those responsible for updating them are aware of deadlines and support the completion.
- Coordinate senior management compliance with the key statutory requirements
- Co-ordinate and record the Trusts response to GDPR issues, liaising with school leaders and the data protection officer as required.
- Develop and maintain manual and online records and management information systems, and manage databases and produce documents for the Trust website as required;
Key Outputs for Office & Lettings Manager aspect:
- Prioritise and carry out a range of administrative and welfare tasks to support the smooth running of the Trust office, including managing reception, making arrangements for visits and events and general office management duties to support the shared services team.
- Administer and maintain an overview of room and facility booking arrangements, liaising with the site team and other facility teams to ensure a great customer experience.
- Actively identify and promote opportunities for lettings, ensuring availability and suitability in accordance with premises/school diaries and the lettings policy.
- Identify opportunities to improve efficient lettings systems and procedures
- Meet potential hirers to discuss their use of facilities and specific requirements.
- Liaise with the finance team regarding charging arrangements for external lets.
