Job Title: Executive Assistant

Salary: £25,000 – £35,000 depending on experience

The Role
As the company grows they have an increasing need for a talented Executive Assistant with some office management, and HR admin, responsibilities to join and support the team. You will be the go to person in the office so fantastic interpersonal skills are key. You must be a team player who enjoys working in a sociable environment but also able to maintain a professional demeanour. The role requires you to be proactive, pre-empting the needs of the CEO and working autonomously to ensure high standards are met.
On a day to day basis, you will assist the CEO with his diary, inbox management, meeting preparation, and any ad hoc tasks. You will also be responsible for overseeing administrative activities to facilitate the smooth running of the office and supporting the team. This is a role with great potential for growth as you’ll be expected to take charge of organising people, information, and resources to enable the team to work effectively, suggesting and leading change where required.
Key responsibilities:
Executive Support
- Managing and prioritising the CEO’s inbox, diary, and to-do list
- Developing and maintaining positive relationships with internal and external stakeholders
- Preparing presentations and meetings, taking minutes if required
- Helping the CEO with personal tasks (e.g. paying utility bills, holiday bookings)
Human Resources
- Co-ordinating with recruiters to fill vacancies
- Helping to arrange interviews with potential candidates
- Managing the end to end process of setting up new starters and leavers for the business
- Managing employee’s salary details, pay rises, and review schedule
Office Management
- Maintaining the level of office supplies and supporting facility maintenance needs
- Ensuring compliance with health and safety requirements
- Organising travel and hotels for colleagues as needed, recording expenses
- Greeting visitors
Administration
- General administrative and clerical support
- Creating and maintaining spreadsheets, and updating reports
- Maintaining up to date company records with relevant government and legal bodies
- Preparing letters and documents, trips to the post office or arranging courier pick ups
Key requirements:
- Experience providing support at the Director/Executive Level
- Experience managing an office and providing administrative support
- Experience working in the IT and/or B2B sectors would be a bonus
- Good working knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Strong communication skills, both written and verbal
- Mature and responsible attitude with a high level of discretion
- Ability to work autonomously, a desire to learn and grow
- Proactive with ability to anticipate, communicate and resolve issues with minimal guidance
- Effective problem solving and interpersonal skills, a focus on teamwork and customer service
- A drive for excellence and high attention to detail
- Excellent time management and organisational skills
- Ability to prioritise and work with the flexibility required as a team member in an SME
