An exciting opportunity has arisen in our Woking based offices, and we are looking for an enthusiastic and well organised co-ordinator to join our busy operations team. We work closely with the UK and other Governments and leading organisations on our events. We organise big international summits, highly topical conferences as well as smaller industry seminars, which makes the role interesting and varied.
The ideal candidate will have previous experience in events industry and lives locally. Although there is an opportunity for hybrid working, in particular during busy times, the candidate would be required to be in the office most days.
The Role:
This central role is integral to the successful delivery of our events. The co-ordinator will join the conference logistics and administration team, reporting directly to the department head, but will also be working closely with our production and marketing teams.
The role involves coordinating conference logistics for a number of high-profile events each year, ranging from small one-day industry conferences to large scale multi-day summits.
The right candidate will be positive, confident and project a professional image. They will have the ability to prioritise a busy workload and have excellent written and verbal communication skills.
Often the first point of contact for our speakers and partners, they will need to be comfortable working in a corporate environment, dealing with senior industry leaders and high-level Government officials and make a positive and visible impact on the professionalism and smooth running of our events.
Main responsibilities will include:
- Coordinating conference logistics for a number of events each year
- Effective and timely communication with confirmed speakers, sponsors and event partners, ensuring all main stakeholders are being kept briefed on the arrangements
- Organising and hosting panel calls
- Keeping all conference logistics and administration documents up to date
- Creating speaker and sponsor information packs and other conference materials, including PowerPoint presentations
- Onsite management: Overseeing delegate registration, greeting speakers and event partners, audio visual, venue and filming liaison and overall supervision of the event on the day
- Producing evaluation form analysis and GDPR compliant attendee lists post-event

- Excellent organisational skills and a high level of attention to detail are essential
- Strong verbal and written communication skills
- Good knowledge of Microsoft Office products (Word, Outlook, PowerPoint and Excel)
- An ability to deal with high work volumes, working across multiple events at the same time
- Comfortable working in a corporate environment dealing with senior industry leaders and high-level Government officials
- Be able to work both independently and as a part of a team
- Well-presented and professional approach
- Experience of working in a small team demonstrating willingness to support colleagues
- 2-3 years’ experience in events industry or in a fast-paced communications or project coordination role will be considered an advantage but full training will be provided
