Job Title: Bookings Coordinator

Location: Lincoln, Working from Home / City Hall / Community Centre

Salary: £18,804 – £19,020 per annum

Job Type: Part-Time, Permanent

Overview:

  • Work under the general direction of the Leisure Services Team Leader.
  • Working as a team of two the Bookings Coordinators are to provide a booking service to the public and council officers. In the event of holidays, sickness and other absences the core service hours of 09.30-12.30 will need to be covered by the remaining bookings coordinator for continuity of service. However on these occasions there would be flexibility for when any residual hours may be worked.
  • Work under the direction of the Leisure Services Team Leader to deliver the community centre and pitch booking requirements using software systems.
  • Undertake administrative duties where required to support the areas within the Leisure and Recreation Services of the Directorate, including out of normal office hours if required.
  • Collaborate with the Team Leader Recreation Services and the Recreation Officers regarding bookings for the Recreation Service.

Main Duties:

  • To be responsible for the receipt and processing of community centre and sports pitch bookings, including supporting documentation, agreements and associated payments for the Councils functions on a manual and computerised systems.
  • To raise accounts/make payments using debtors and creditors software system.
  • To respond to relevant internal and external enquires.
  • To initially receive customer enquiries/complaints and either resolve to a satisfactory outcome or where necessary direct the enquiry/complaint to the relevant officer.
  • Carry out regular monthly checks of the level of hirers indebtedness, increasing the frequency of checks if a hirer fails to maintain agreements to reduce their level of debt. Liaising with the Recovery team to ascertain what action they have/are taking.
  • To maintain and update the Key Holder issues spreadsheet, to monitor any incidents arising and identify trends or required action/escalation.
  • To use software systems to manage bookings and associated access control.
  • To provide and collate information on bookings as required by the Team Leader Leisure Services
  • To undertake clerical duties as directed by the Team Leader Leisure Services, which may be required from time to time.
