The Role
A fantastic opportunity has arisen for a Laboratory Administrator to join the laboratory team to provide invaluable support. The post holder will be expected to support the operation of a high-quality water testing laboratory service and to provide first class customer service to customers.
The Laboratory Administrator occupies the reception desk at the Research Centre and is principally responsible for sample logging, customer queries, visitor management, goods sending and receiving, taking phone calls and other administration tasks required by senior staff. Applicants will have a keen eye for detail, be able to meet tight deadlines and work within a pressurized environment. This post involves extensive communication with customers and colleagues and therefore excellent written and spoken English skills are an essential requirement.
Overall Goals and Objectives
Domestic Water Testing
- Ensure all incoming samples are processed and logged into the sample management system in accordance with laboratory quality procedures
- Communication with the customers regarding any sample queries or discrepancies
- Ensuring all reports are released in a timely manner.
- Management of customer queries and issues, ensuring resolution in a specified time
- Data analysis and reporting of customer and parameter trends
- Supporting the laboratory’s testing work. This could include checking the progress and reports for laboratory work, labelling of samples, assisting with lab audits.
Visitor Management
- Making hotel bookings and travel arrangements for lab staff and visitors
- Managing the laboratory meeting room bookings
- Arranging lunches for events and visitors
- Greeting guests and preparing teas and coffees
- Liaising with sales team members to arrange customer visits
Administration
- Taking phone calls and forwarding to relevant staff
- Keeping an up to date phone numbers list
- Recording and distributing various meeting minutes
- Taking deliveries
- Managing and ordering office and kitchen consumables
Skills and Experience
- Experience in a customer facing role essential, with excellent customer service skills and the ability to use initiative
- Experience of working in a laboratory environment an advantage
- Experience of Microsoft Office programs: Excel, Word, Outlook. Should be able to create standard documents for use in lab reporting, able to create simple analyses and charts
- High level of accuracy and attention to detail, and good data input skills
- Good organisation skills with ability to prioritise workload with flexibility to respond positively to changing demands
