Job Title: Engineering Administrator

Location: Luton

Salary: £20,500 per annum pro-rated (£34,166 per annum FTE)

Job Type: Permanent, Part Time

Working Hours: 24 hours per week, normally over 3 full days, 08:00 to 16:30 with a 30 minute unpaid break, however flexibility is available for the right candidate

We are currently recruiting for an Engineering Administrator to join our Luton based team.

This is a permanent, part-time role working 24 hours per week, with flexibility offered on how the hours / days are split.

The Role:

Reporting to the Engineering Manager, the Engineering Administrator will carry out non-technical administrative tasks, supporting the base. Additionally, the role will provide administrative Technical Services departmental support as appropriate.

A summary of key responsibilities will include, but are not limited to:

  • Administration responsibility for payroll to include input of attendance and overtime into the electronic attendance management system
  • Provide administration support to Technical Services department for various functions, to include work pack scanning/auditing for correctness, work pack shipping and control
  • Control and approved issue / reconciliation of petty cash
  • Provide a reception function for customers and visitors, ensure they are met and have correct identification for access to our facilities, to also include telephone answering duties. Note: – It is not required to cover all business hours
  • Process purchase orders through suppliers for non-aircraft related items and source the best possible value for these items. To include uniforms/PPE/stationary
  • Provide a back-up function for aircraft parts purchasing
  • Provide administration for any warranty claims
  • Provide reports on routine basis, to include such areas as daily man hour booking reporting, aircraft maintenance input summaries
  • Monitoring of cleanliness within the on-site offices and reporting any deficiencies to the Manager
  • Liaise with on-site base customers to ensure office cleaning is completed and any issues are brought to the Managers attention
  • Assisting with Engineering training for bookings and other arrangements as necessary
  • To attend and take/distribute minutes for engineering meetings as required
  • To provide administrative support for our Stansted base in absence of the Stansted Engineering administrator as necessary
  • Any other administrative function as required and requested through the Engineering Manager

The Candidate:

  • Previous experience of working within an aviation / airline environment is beneficial however not essential
  • This role is suitable for anyone with a strong administration / personal assistant background who is familiar with dealing with multiple priorities and teams at any one time. Confidentiality is also a key requirement
  • Good computer skills (Microsoft packages, general working knowledge of systems) are a requirement
  • Applicants should have an organised, adaptable and flexible approach with strong interpersonal skills and a diplomatic approach. You will be enthusiastic, willing to learn and maintain a professional appearance and manner at times in sometimes challenging circumstances
  • The ability to prioritise in an ever-changing environment, remain calm and adapt under pressure are essential for the role
  • Excellent communication skills are key to this role, combined with courtesy and integrity which are equally as important. Good administration skills and computer literacy are essential qualities
  • The role may at times be required to provide support at both locations therefore a full UK driving license is essential, as is holding the right to live and work in the UK. You will also need to have a 5-year checkable history in order to obtain an airport ID pass.
