About the role:
The main purpose of the role will be to provide administrative support for the Centre for Black Theology (CBT) and the Centre for Discipleship and Theology (CDT) in relation to non-university work.
The postholder will be handling enquiries and administration for two of our five Centres (CBT and CDT). They will work closely with the Registry Manager and the two Centre Directors, providing administrative support, using the database to create and maintain accurate student records for regulatory returns, supporting assessment and marking processes, and assisting in the smooth-running of Registry and the two Centres.
Key Responsibilities
1. To support students and prospective students of CBT and CDT in relation to recruitment, admissions, and enrolment. This will include:
- being the first point of contact for admissions and other enquiries
- processing applicant information and accompanying documentation
- preparing offer and outcome letters for the Directors of CBT and CDT, creating and maintaining accurate student records, using database applications as necessary
- ensuring that accurate fees information is passed to Finance
- To provide Registry administration for the continuing student journey. This will include:
- ensuring students have the necessary logins and access to systems
- providing advice and assistance regarding use of the Virtual Learning Environment (VLE) to students and staff
- assisting with processing and maintaining records for assessment submissions, marking, moderation and associated extension, mitigation and Individual Learning Plan requests
- creating module and programme records on the database and VLE for the new academic year
- processing progressions, withdrawals and suspensions
- preparing for Birmingham Newman University-related exam boards
- liaising with the designated Birmingham Newman University personnel and processes as required by the Registry Manager
- maintaining records of student progressions and achievement through Birmingham Newman University
- To provide administrative support to CBT. This will include:
- clerking for Centre meetings, including meeting bookings, minute-taking, circulation of agendas and papers, and follow-up of action
- assisting with the preparation and delivery of Centre events
- providing administrative support for the planning, advertising and delivery of recruitment activities and progressing follow-up actions
- being the first point of contact for CBT enquiries, providing information and giving assistance
- To provide administrative support to CDT. This will include:
- clerking for Centre meetings, including meeting bookings, minute-taking, circulation of agendas and papers, and follow-up of action
- assisting with the preparation and delivery of Centre events
- providing administrative support for the planning, advertising and delivery of recruitment activities and progressing follow-up actions
- being the first point of contact for CDT enquiries, providing information and giving assistance
- To contribute to all Registry activities and the smooth-running of the Registry office
- To share in the more general administrative tasks in the Queen’s Foundation. This may include:
- Undertaking such tasks as may reasonably be required by the Registry Manager, Centre Directors, or other senior manager
- Working with other Professional Services staff to ensure that essential areas of work are covered if operational needs arise.
