Job Title: Team Assistant

Salary: Up to £30,000 per annum
Job type: Permanent. Full-time. 37.5 hours over 5 days per week

Key Responsibilities and Duties:
- Speaking with Housing Association Tenants, Leaseholders and Clients to arrange access appointments.
- Coordinating and managing appointments site meetings and the like for staff and managing team staff diaries to prevent duplicate bookings.
- To liaise with staff to arrange investigations and keep working files in a good order, ensuring that documentation required by the company is completed by other team members where necessary and placed in each working file.
- Undertake tender comparisons, type up draft invoices, calculate VAT etc.
- Maintaining general office files, including creating job files and fee files, maintaining job lists, general filing and file maintenance, and dead jobbing.
- Typing documents to be issued to Clients.
- Carrying out clerical duties such as answering phone calls, responding to emails, preparing documents including office correspondence and memos.
- Oversee office equipment and supplies.
- Performing other relevant duties when needed.
Applicant Requirements
- Eligible to work in the UK.
- An excellent command of the English language.
- 5 or more years’ proven office administration experience at senior level.
- Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel and Outlook).
- Confident typist. Ideally to 60-70 WPM.
- Ability to handle confidential data and information.
- Confident with maths. A good working knowledge of accountancy/finance/raising invoices/debtors is preferred.
- Confident in speaking on the telephone in a professional manner.
- Multi-tasking and time-management skills, with the ability to prioritise tasks.
- Ability to learn quickly and understand the work of the team.
- Ability to self-motivate.
- Excellent organisational skills.
- A background working in the construction industry/property management is desirable.
- Experience with audio typing equipment is desirable.
