The role

Employed as a fully integrated member of the Project Management Office (PMO), the individual will also become actively involved in supporting the Sales Department with proposal definition, costing, scheduling and bid document preparation.

This position applies to entry/junior level Project Managers, with involvement in projects of increasing scope and contractual obligations, with the main characteristics and requirements summarised as follows:

  • Project size up to £50k initially, with a duration of 3-6 months.
  • Involvement of COTS and some limited new technologies or products.
  • Build to print activities.
  • Participation in customer facing meetings and discussions.
  • Management of small multi-discipline teams within the organisation.
  • Engagement with suppliers and sub-contractors in support of project delivery objectives.
  • Collation, analysis and presentation of incurred and estimated project costs to senior management.
  • Production of project documents and presentations.
  • Close engagement with the project technical team.

Project Success

To ensure the success of an allocated project, the Project Manager is expected to:

  • Organise and lead a project Kick Off meeting with the participation of key stakeholders and resources to ensure a proper handover between the bid and execution phase.
  • Organise and lead a project Kick Off event with the customer.
  • Define and maintain the project organisation including but not limited to a quality plan, work breakdown structure, deliverables list and schedule.
  • Ensure that the project is accurately entered into the company’s project reporting system and any other applicable IT tools.
  • Initiate, coordinate and control tasks according to the project plan and in line with the project lifecycle process.
  • Hold project reviews as appropriate with the project team and with the customer, producing accompanying meeting minutes and action list.
  • Identify required resources (skills and capacity) and assign them to the project in coordination with the Delivery Team. Evaluate the need for external subcontractors, seeking the appropriate approvals to address potential internal resourcing shortfalls.
  • Prepare for and participate in project reviews.
  • Pro-actively identify, report and if necessary escalate project issues, proposing and implementing corrective actions.
  • Maintain an up to date estimate of the project’s financial position, including but not limited to: Revenue, cash position, costs-to-date, gross margin, cost -to-complete, work in progress and deliverables.
  • Maintain a risk and opportunities register with mitigation actions identified.
  • Ensure the timely identification of invoicing opportunities.
  • Initiate and monitor external purchases (material, labour and services) with the support of the appropriate business support functions.
