Job Title: PA to Head of Henry Moore Institute/Programme Coordinator

Location: Henry Moore Institute, The Headrow, Leeds

Salary: £23,000 – £25,000 + 12.5% pension contribution + other benefits

Job Type: Full Time, permanent, 35 hours/week (Monday to Friday 9.30am – 5.30pm)

The Henry Moore Foundation was established by one of the great sculptors of the twentieth century. Today it is the largest artist-endowed grant-giving foundation in Europe.

This is an excellent opportunity to work in an important position in a vibrant visual arts organisation, offering a pivotal role within the Programme team.

We are looking for a well-organised, highly motivated self-starter; a confident and diplomatic communicator with a keen interest in the visual arts and excellent attention to detail. Our ideal candidate will have exceptional time management skills, good literacy and numeracy skills, enjoy working as part of a team and will be adept at anticipating team needs.

This is an ideal role for someone with great organisational skills and a ‘can do’ attitude, who is seeking to develop their career in the visual arts.

Responsibilities include but are not limited to:

  • Provide PA and administrative support to the Head of HMI, including diary management, correspondence, internal communication, travel arrangements, budget management, research and the preparation of presentations.
  • Provide administrative support across the wider programme team, including answering and redirecting calls within the Institute as required.
  • Assist the Head of HMI and the wider programme team to deliver a programme of exhibitions and displays, including liaison with artists, collections and their representatives, museums, galleries and other partners.
  • Organise exhibition openings, arrange exhibition photography and arrange travel, accommodation and hospitality for VIP guests.
  • Assist with the production of programme interpretation material, including liaison with authors, monitoring deadlines, sourcing images, negotiating fees and obtaining permissions and copyright. Distribution of new essays to subscribers.

Person Specification:

  • Confident and diplomatic in face to face and telephone communications and negotiations (E)
  • Organised and able to work to deadlines (E)
  • Enjoys working as part of a team, anticipating the team’s needs and offering support as required (E)
  • Discretion in handling confidential matters (E)
  • Highly competent in using Microsoft Outlook, Word, Excel and PowerPoint (E)
  • An interest in art, and sculpture in particular (E)
  • Experience of working in a cultural organisation is desirable (D)
