Job Title: Receptionist and Facilities Assistant

Location: London

Salary: £23,000-£30,000 per annum plus bonus

Job Type: Full Time, Permanent

The Role:

To ensure the smooth running of the office and front desk, offering a professional service supporting techUK members and staff with conference, meeting activities and AV requirements. Assist in overseeing all facilities management activities including maintenance, post/print room, catering, event support etc.
Key responsibilities

  • Provide excellent Front of House service, greet and direct all visitors to techUK
  • Answer the main switch board, transfer calls and deal with enquiries
  • Book meeting rooms for staff and members on request
  • Respond to queries from staff and members, referring to other colleagues as appropriate
  • Monitor and manage requests in ‘meetings’ and ‘info’ inboxes, responding to enquiries promptly
  • Assist with meeting room set up ensuring correct room layouts and AV equipment has been set up and tested
  • Assist with coffee machine maintenance and repairs where required
  • Manage courier and taxi bookings on request
  • Manage weekly lunch orders for all meetings and create purchase orders
  • Update the Visitors Log daily ensuring we track all visitors for COVID safety
  • Update reception notice board (email copy to main reception) and visitor book daily
  • Maintain general tidiness in the reception area
  • Deputise for the Office Manager

In Absence of Other Team Members

  • Office Manager
  • Assist with office services including office maintenance and cleaning, liaising with contractors to rectify any issues as required and keeping records
  • Management reporting as required such as visitor numbers, room bookings etc.
  • Generate member orders and take credit card payments for room charges and catering
  • Facilities Assistant
  • Assist with room AV and lunch set ups
  • Monitor member area, tidy and restock as required

About you

  • Excellent communication skills, both written and verbal

  • Excellent time management, prioritising and organisational skills

Essentials:

  • Customer service experience
  • Experience of dealing with a broad range of people
  • Microsoft office suite

Desirable:

  • AV equipment
  • Health and Safety knowledge and experience
  • Experience of overseeing office/facilities management including office supplies and services

This is a full-time role, based in techUK’s London offices. The hours of this role are 9.30am to 5.30pm. We do require flexibility to provide support outside of these hours on occasion.
