Job Title: Receptionist / Administration Assistant

The Role:
Hours of work between – 9.00 am to 3.00 pm – Monday to Friday
Meeting and greeting at the public entry reception area. The receptionist will attend to telephone calls, deal with all enquiries, and direct the calls as required. The post has associated administrative role as it is documented in the job description. They handle personal information about residents and are expected to familiar with data protection act. They will be accountable to the manager and lead nurse.
We are looking for job share by two people for this role.
Key Responsibilities and Accountabilities:
- Meeting and greeting anyone coming through the door and dealing with them. They should be familiar with Covid-19 regulations for visitors.
- Answering telephone calls and direct them as required in a professional manner.
- Checking emails – responding and directing them to appropriate departments
- Sorting and distributing post
- Receiving deliveries and informing relevant departments
- Booking meetings – assisting the nurses collating documents for visiting healthcare professionals
- Keeping the office tidy and files organised
- Enquiries for potential admissions – pass it to nurse in charge/manager
The Candidate:
Excellent verbal and communication skills as well as competency in Microsoft office application such as Word and Excel. Prior experience as a receptionist is helpful. They are expected to communicate and contribute positively as part of a team, helping out with various tasks as required.
Administration role
- To assist the manager and the nursing staff:
- To send emails to relatives re appointments, information, and updates
- Sending out quality questionnaires to residents/relatives
- To keep contact details of staff – telephone numbers, email, and home address
- List of GPs for residents
- Collating consent forms for flu injections and forwarding to nursing staff
- Newly appointed staff – requesting references/DBS checks
- Ordering stationery, medical equipment, and uniforms
- Support for residents
- New admissions – registering the resident at the GP surgery
- Forwarding required paperwork to the family
- Creating a care file with photographs and E-plan
- Booking hospital appointments/transport and escort as required
- Making appointments with dentists/opticians
- Ordering clothes – after discussion with the manager
- Ordering and cancellation of newspapers
- Deaths – Organizing a photograph at the lounge, Organising flowers and a card for the family, liaising with the family to collect personal belongings/death certificate
Covid-19 associated responsibilities
- Organise Covid safety testing for all staff, residents, and visitors.
- To book visits by the family to see residents
Miscellaneous
- Dealing with petty cash – accountable to the finance administrator
- Arrange collection of sharps and unused medication
- Liaise with Standex – E-plan when required
