The Role:
This is a unique role assisting all areas of HR and administrative management in the Bank. You will also be available to assist with project related tasks and become another point of contact for HR related issues.
Reporting directly to the Head of HR, duties for the HR Assistant will include producing contracts of employment, and documentation for contractual changes, administration and induction for joiners, assisting with the recruitment process, maintaining spreadsheets, updating the HR database, running reports as well as supporting the HR Head with general administrative tasks and ad hoc projects.
Alongside these areas, the successful candidate will provide general administrative support for the organization. You will also assist where necessary with any day to day issues or grievances which may arise.
Key Duties:
Below are specific responsibilities within the HR team and these will be reviewed from time to time based on your experience and the organisation’s scope of operations.
- You will be responsible for providing HR administrative and operational support to the team, staff and line managers.
- Act as a first point of contact for all HR queries and ensure the smooth running of all relevant HR processes.
- Responsible for processing HR expenses on a timely basis and ensuring they are in the right ledger.
- Ensuring that all payroll data is accurately inputted and verified.
- Processing new employee administration, employee onboarding process and induction, liaising with recruitment agencies, coordinating interviews, filtering CV’s, and maintaining & updating recruitment records.
- Ensuring all paperwork for all employees are up to date, signed and in employees’ personnel files in a timely manner
- Assist with liaising with Training providers and booking trainings for Staff members. In addition, ensuring that all training feedback reports are adequately collated.
- Ensure adherence to the code of conduct and HR processes, assisting with employee relations issues i.e. disciplinary and grievance procedure in the absence of the HR officer
- Managing the HR Information System (Carval/ CIVICA)- maintaining and updating all HR information and personnel records both manually and electronically.
- Updating all HR spreadsheets and other HR administration.
- Maintaining attendance systems and absence procedures, highlighting any issues to the Head of HR.
- Assisting with monthly and quarterly reports to various departments and Management
- Working closely with the Facilities & Admin department on staff social functions
- Ad hoc duties as assigned by Head of HR
About you:
- Previous administrative experience of working within an HR environment in a fast-paced organization is beneficial.
- Ability to utilize Microsoft office including Excel, Work, PowerPoint and Outlook
- Ability to utilize HR Systems
- Excellent communication skills both verbal and written
- The candidate will need to be a confident self-starter, with the ability to work unsupervised and to use initiative. It is also imperative that you are organized yet flexible and able to prioritize varying workloads to meet demanding deadlines.
- Good relationship Builder and ability to work in a team
- Individual should be able to work with accuracy and minimal error
- Must have a keen attention to detail and respect the need for confidentiality.
- Basic knowledge of employment law.
