About the role:

We are looking for a proactive and organised Materials Controller / Admin Assistant to join our small family-run business. This role involves various duties such as order processing, customer and supplier liaison, as well as hands-on tasks like goods-in and goods-out management. The ideal candidate should be comfortable working in both office and shop-floor settings and able to support the team with flexibility and efficiency.

Duties and Responsibilities:

Office & Administrative Support

  • Answer phone calls, direct enquiries, and support general administrative needs.
  • Raise purchase orders for materials, tools, and paint processes.
  • Track the progress of purchase orders and coordinate subcontract work.
  • Handle customer progress-chasing inquiries by coordinating with the necessary colleagues.
  • Act as the primary liaison for customers and suppliers regarding materials, raw stock, and other inquiries.
  • Update customer stock spreadsheets to reflect incoming deliveries and material stock.
  • Assist with Sales Order Processing when needed.
  • Respond to internal requests, support project work, and assist other departments as needed.

Goods-In & Goods-Out Management:

  • Receive incoming goods
  • FLT assistance to load/unload deliveries
  • Organise deliveries and collections, raise delivery notes
  • Book in all delivery notes, matching them against Purchase Orders.
  • Checking / inspecting incoming & outgoing goods to specification (e.g. Extrusion Temper and size)
  • GRN Control and Processing
  • Maintain accurate customer stock records and update systems regularly.

About you:

  • Proven experience in a similar administrative or operations support role, ideally within an engineering or manufacturing environment.
  • Forklift certification (or willingness to obtain one) is preferred.
  • Strong attention to detail, excellent organisational skills, and ability to multitask.
  • Proficiency in MS Office Suite (Excel, Word, Outlook)
  • Excellent communication and interpersonal skills.
  • Knowledge of basic health and safety procedures in a shop floor environment.
