Job Title: HR & Office Co-ordinator

Location: Unit 7a, Odhams Trading Estate, St Albans Road, Watford, WD24 7RY

Salary: Competitive salary (dependant on experience)

Job Type: Full time – Office Based, Permanent.

Purpose of role:

To support and drive our growth we need a strong HR & Office Co-ordinator to join our existing HR and Operations team with a true focus on our colleague employment experience and wellbeing. Who are we?

Vegetarian Express specialise in delivering plant-based ingredients, ideas and inspiration to chefs across the UK for eating out of home. With the astronomical rise in popularity of plant-based, vegan, vegetarian and flexitarian diets, we are uniquely placed in Foodservice to meet with this demand, and as such are rapidly growing and expanding.

Nationally we supply more than 4,000 skilled chefs from customers such as Compass, Baxterstorey and CH&Co, as well as a ton of Independent operators and events such as The Chelsea Flower Show, Wimbledon and Wembley Stadium to name just a few.

We work with customers to create plant-based menus that are enticing, better for consumers health, the planet and commercially for businesses.

What will you be doing?

  • Working closely with HR colleagues (HR Director & Internal Recruiter) and line mangers to ensure the smooth on-boarding of new hires and off-boarding of leavers incl. IT equipment, IT access, Company cars, office equipment, desk space, phones etc.
  • Maintaining our HR Information System (HRIS), ensuring data is up to date and documents uploaded, including leavers and in-employment changes
  • Monitor and track the induction, probation and appraisal process completion, chasing appropriately as required
  • Support with recruitment practices by supporting with the advertising of vacancies, carrying out screening telephone conversations and arranging interviews
  • Support with employee relations to include preparing invites, note taking and creating draft outcome paperwork
  • Assist with monthly Payroll administration, collating all monthly payroll data and providing this to the Finance team who process payroll
  • Managing the environmental and sustainability aspects of our office and our colleagues remote offices in-line with our B-Corp commitments
  • Work with the Depot General Manager to implement and ensure compliance of health and safety practices and policies to create a secure and compliant working environment.

What do you need?

You don’t have to be vegan or a foodie to join our team, but a passion for helping line managers and colleagues with all things HR and office is essential. You will also need;

  • Proven experience in a HR admin or HR assistant role
  • Proven experience of HR admin in a HRIS
  • Solid understanding of HR administration procedures and systems
  • To be highly proficient in using office software and tools, such as MS Office and cloud-based platforms.
  • Strong organisational and multitasking abilities to handle diverse responsibilities effectively
  • Excellent communication skills and ability to interact with individuals at all levels
  • Exceptional attention to detail
  • Ability to apply and interpret policies and procedures effectively
  • Strong integrity and confidential values- the role requires appropriate handling of confidential and sensitive information

What will differentiate you?

  • CIPD Level 3 or an NVQ in Business Administration
  • Understanding of basic payroll principles
  • Experience of working in a HR workflow driven HRIS

What are our hours of work?

Core hours of work – Monday to Friday 08:30-17:00 (40 hours) however we can offer flexibility around these hours.
