Key Responsibilities:
- Coordinate with the group leader from booking until the trip’s conclusion.
- Schedule and book concert and rehearsal venues appropriate to the ensembles, visits, and activities.
- Assist with promotion and advertising of performances.
- Develop a detailed and engaging itinerary based on the group’s needs.
- Ensure all tour elements are booked within budget while maintaining profitability.
- Communicate with accommodation centres about rooming, meal arrangements, and general inquiries.
- Update accommodation centres and transport providers on passenger changes, name changes, dietary requirements, etc.
- Address any queries from group leaders regarding their tours.
- Potentially serve as a ‘Tour Rep’ to assist groups on tour.
- Visit destinations for training, supplier audits, and reviews.
- Handle booking inquiries via telephone.
- Work proactively and productively with other departments in the business.
- Perform other business-related tasks as needed.
- Potentially attend and present at school parents’ evenings, both remotely and in person.
- Be on call for out-of-hours phone duties while groups are on tour (with additional pay).
Skills/Knowledge Required:
- Experience in the Music Travel Industry, either in the UK or abroad, is highly desirable.
- Strong knowledge and understanding of multiple destinations and subject areas.
- Excellent organizational and administrative skills.
- Proactive and able to prioritize tasks effectively.
- Ability to build and maintain strong relationships with colleagues, suppliers, and customers.
- Outgoing and confident personality.
- Strong communication skills.
- Positive ‘can-do’ attitude.
- High proficiency in written and spoken English (Grade C or above at GCSE or equivalent).
- Proficiency in a second European language is highly desirable (preferably German or French), though not essential.
